A) INTRODUCTION


   A1) OBJECTIVE

Objetivo del Proyecto:

Digitalizar y optimizar los procesos comerciales, de ventas, postventa y financieros de la empresa mediante la implementación de Odoo, con un enfoque en la integración de herramientas digitales que mejoren la gestión de leads, el seguimiento de ventas y la eficiencia operativa.

Objetivos específicos:

  1. Gestión de Leads y Ventas:
    • Integrar los leads generados en campañas de redes sociales (Facebook, Instagram, y Google) directamente en el módulo CRM de Odoo.
    • Implementar el flujo de ventas para canalizar leads y medir tiempos de respuesta de los 5 vendedores.
    • Habilitar un chatbot sencillo para responder automáticamente a solicitudes en línea y mejorar la atención inmediata.
    • Integrar WhatsApp con Odoo para centralizar la comunicación con los leads.
    • Automatizar la asignación rotativa de leads a los vendedores y crear reglas para la reasignación automática en caso de que un vendedor no responda en un plazo de 5 horas laborales.
  2. Optimización Financiera:
    • Integrar el seguimiento de pagos a proveedores y la gestión de efectivo en el módulo de Contabilidad de Odoo.
    • Digitalizar el manejo del plan de pagos mensual de las opciones de financiamiento ofrecidas por la empresa.
  3. Mejora en el Proceso de Postventa:
    • Implementar herramientas para el seguimiento eficiente de la documentación y las fechas de entrega en coordinación con notarios y otros actores clave.
    • Agilizar la comunicación entre áreas clave (ventas, contabilidad, y postventa) para garantizar una experiencia fluida y satisfactoria para los clientes.
  4. Facilidades Administrativas:
    • Habilitar la opción de descargar listas de precios actualizadas directamente desde el sistema para uso de los vendedores y clientes.

Este objetivo se enfoca en resultados tangibles que la empresa puede lograr al implementar Odoo, mejorando tanto su gestión interna como la experiencia del cliente final.

Robbie is an entrepreneur with over 15 years of experience running his own businesses, including a chain of educational institutions (language schools, high schools, universities) and is currently the Co-Director of the BNI franchise in the West Jalisco region. We are recommending the implementation of an ALL-IN-ONE as the digital tool to achieve the company's goals.

An ALL-IN-ONE includes elements of ERP, CRM, CMS, and much more (Enterprise Resource Planning, Customer Relationship Management, Content Management System). It is a system that integrates and manages key processes in a business.

It helps optimize operations, improve efficiency, and facilitate decision-making to achieve business objectives.







Discover Odoo 

We recommend using Odoo as the all-in-one system for your project due to its scalability, adaptability, ease of use, and cost.

Payment is made directly to Odoo. Please send us the company's 'Fiscal Situation Certificate' so that we can send you the payment link.

Odoo Enterprise uses a per-user pricing model, allowing companies to adjust the cost based on the number of employees accessing the system. This makes for a scalable investment tailored to the specific needs of each organization. A user is someone who has responsibilities within the system.

Odoo offers a variety of plans designed to adapt to different business needs.

Based on your company's current needs, we recommend considering the following options:

On occasion, additional expenses may be necessary. These are optional and include payments to third parties (excluding Lucion).

MEXICAN ELECTRONIC INVOICING - $PAY AS YOU GO

Odoo offers the functionality to stamp invoices, but it requires the acquisition of an external PAC provider. These providers charge for the stamps, following a pay-per-use model that adjusts to your billing volume. There are 4 providers available, with Sapien being our recommendation. You can create your account directly with them.

Meta Prices

A domain is the unique address of a website on the internet. It's like a home address on the web. Odoo provides a default domain, such as [se quitó una URL no válida]. However, sometimes we prefer not to show odoo.com in our URL, so Odoo offers the option to customize our website with our own domain. You can purchase a domain from sites like godaddy.com, where the annual cost varies depending on the chosen words. If you already have a domain, linking it to your site is very simple.

Odoo offers an optional OCR (Optical Character Recognition) feature for digitizing documents like contracts, receipts, and bank statements. While this feature incurs an additional cost, it can significantly streamline your document management processes.

La gran mayoría de nuestro trabajo se puede realizar de manera remota, incluyendo las capacitaciones, las cuales se pueden gestionar a través de videoconferencias. Para la instalación de equipos, es posible coordinar con técnicos locales; sin embargo, si resulta absolutamente necesario, estamos dispuestos a desplazarnos a las instalaciones o ubicación del cliente. Esto implicaría un costo adicional por viáticos, que sería cubierto por el cliente, e incluiría gastos de transporte (ya sea por avión o por tierra), alojamiento, y un presupuesto diario para cubrir alimentación y bebidas durante nuestra estancia.

Transporte:  Se requiere cubrir el costo del viaje redondo desde y hacia Puerto Vallarta, Jalisco, pudiendo optar por clase económica que incluya equipaje. Además, es necesario considerar los viáticos para el traslado diario entre el alojamiento y las instalaciones del cliente, ya sea mediante Uber o cualquier otro medio de transporte proporcionado.

Alojamiento:  Se solicita una habitación individual por técnico.

Costo 'Per Diem': Se establece un monto de $2,500.00 MXN diarios para cubrir los gastos adicionales.

This is the total investment, considering the digital platform (Odoo Enterprise), hardware (if quoted), and Lucion's services. Please note that payments will be made to different accounts. Odoo Enterprise payments go to Odoo, hardware payments go to the indicated suppliers, and Lucion's payments go to Lucion.



   C6) PAYMENT PLAN

We understand that for projects of this scale, which can be lengthy and represent a significant investment for some companies, a payment plan is necessary. We can offer a payment plan based on an initial deposit followed by milestone payments. 

BEST PRACTICES


Dedicated Project Liaison 

Our experience shows that the most successful Odoo implementations occur when our clients assign a dedicated point person to work with us. This individual should have some technical aptitude or, at the very least, be comfortable using computers.

This person will serve as the system administrator throughout and beyond the implementation process. We also recommend training the company administrator and accountant on the system to familiarize them with its functions. This is crucial for accurately creating and configuring products, ensuring that invoices can be generated correctly.

Implementation Timeline



ERP implementation timelines can vary based on several factors. Primarily, the time dedicated to training sessions plays a crucial role. If [client] can commit to fixed time slots each week for training the designated personnel, this will significantly streamline the process. Additionally, having access to a training room equipped with a screen would be very helpful. An implementation of this scope can typically take anywhere from 3 to 9 months, depending on the team's availability and commitment.

At Lucion, we have extensive experience managing change resistance. Our business acumen allows us to deliver engaging, intuitive, and practical training sessions.
