1.b) HOW MUCH DOES ODOO COST?
Even considering what Odoo offers, it remains to this day one of the most affordable all-in-one solutions on the market.
Odoo has a simple pricing structure, they charge per user. Therefore, all a company needs to decide is how many users they want to add.
What does this mean?
A user is someone who the company has deemed needs to have access to the system. Their roles within the company require them to interact with the system. Not all employees will require access, and Odoo offers several features that allow non-users to perform some basic functions, such as clocking in and out when they start and end their shifts.
Additionally, a user profile can be used by multiple people, for example, in the case of a kitchen in a restaurant, multiple cooks and chefs can use the same user account to log the start and completion of meals.
Odoo offers five pricing plans, and the choice of one largely depends on your company's short-term goals. Odoo's flexibility lies in the possibility of starting with a basic plan and scaling up to more comprehensive options as your business needs and financial capacity evolve.

The most accesible and easily adapatable sales terminals are from Ingenico. They have several products but are easily integrated with banks directly or with other payment gateways. These are already integrated with Odoo and so is a quick connection.

Payments infrastructure for the internet
Millions of companies of all sizes use Stripe online and in person to accept payments, send payouts, automate financial processes, and ultimately grow revenue.
Stripe has the advantage that it is already integrated into Odoo and there are several point of sale terminals that can be connected to the stripe interface, allowing the company to automatically charge sales.
MF919 - Sales terminal
We recommend stripe as it doubles as your ecommerce payment gateway as well as your sales terminal gateway, thus consolidating all payments in one application. It would be worthwhile exploring the commissions stripe charges to see if this alligns with your budget.
Cash Drawers
Odoo POS can operate any EPSON or Star compatible cash register. It has to be connected through the receipt printer.

3.1a) DEVELOPMENT OF CONNECTIONS
THIRD PARTY CONNECTIONS
We will program the necesary API interconnections between third party systems such as Trip Advisor, Eventbrite etc.
To create an API with a third party system, we need to know exactly what information needs to be transferred between each system and when you get the information, what should be done with it.
Depending on the complexity of the API Connection, an API may take between 2 weeks to 2 months to build.

The API development may take about 10-15 days for 2 of the APIs.

It is not necessary to code Eventbrite as there is already an app in the Odoo app store. However, it is necessary to contemplate the additional cost to purchase the app and of course, always consider that the app may not work 100% and may require some modifications.

3.1b) MODIFICATIONS: PRESENTATION SCREEN
TICKETS or FOOD
On the self-service kiosks, the client has expressed interest in implementing a split-screen feature for kiosk mode. This will enable customers to easily choose between purchasing tickets for the Butterfly Sanctuary or ordering food and drinks.
We will make a new app for Odoo called Kiosk Mode. This will show a split screen showing the two options. Once a transaction has been made, tickets or receipts will either be printed and the customer will be taken to the split screen again, ready to do another transaction or ready for the next customer.
Tickets will be sent to both email and be printed. This is to avoid any issues with paper jams, running out of paper or ink or other mechancial failures.
Creation of Kiosk Screen App:
Estimated Time: 3 months
NOT URGENT: The Food self self service POS is available as a native feature in Odoo, the ticket sales are done via the internet and there is currently no ticket sales kiosk available. So, we would have to create the Kiosk mode which means creating a whole new application based on the events module. Our short term solution is to place QR codes near the Kiosk machine where patrons can scan with their cell phone which will take them directly to the website where they can buy their tickets.

3.1c) EVENT APPLICATION MODIFICATIONS
Upon reviewing the requirements of the Butterfly Sanctuary, it has been determined that modifications need to be made to the Events application. The Sanctuary needs the functionality to sell time slots to their visitors, a feature not currently supported by Odoo. While Odoo's default setup is geared towards selling event tickets for full-day conferences, we can explore potential workarounds given Odoo's flexibility. However, for seamless integration with platforms like Trip Advisor, Airbnb, and Eventbrite, the ability to sell time slots is crucial. Therefore, it is essential to customize the Odoo code to enable the sale of time slots within events and impose restrictions on the number of available slots. This will involve enhancing the existing "Sessions" feature in the Event application to incorporate time slots and ticket limits. When customers purchase tickets and select an event, they will be required to choose their preferred date and session time. The ticket will then be associated with the specific session chosen.
Estimated time: 2 weeks
URGENT: As this is a vital function necessary to facilitate the creation of the APIs, we will need to do this modifications first.

3.2) IMPLEMENTATION SERVICES
Odoo is an incredibly flexible system, which also means it can be quite intricate. Typically, the more customizable a system is, the more complex it can become. Over the past 3 years, we have focused solely on Odoo, mastering its features inside and out. We do not own Odoo, nor can we say we made Odoo... it just happens to be our favorite tool for what we do... digitalize companies
Our focus is not just on selling systems and providing you with a user manual to navigate on your own, but on ensuring that the system is tailored to your needs, with a seamless and efficient Odoo implementation process.
Our implementation services cost $10,000.00 (IVA included and include:
ASSIGNED LIASON
We have found with experience that the best Odoo implementations are when our client assigns a liason with which we can gather information from. It is better when this person has some technical knowledge or at least, is comfortable using computers.
This person will become the systems administrator during and after the implementation process.
We also recommend training the company administrator and accountant in the use of the system so that they are familiar with the functions, this aids immensley when creating products and configuring them accordingly so that invoices can be correctly made.
BASIC CONFIGURATIONS
When we start an implementation, we set up basic configurations in the Odoo instance, such as language settings, time zones, main currency, additional currencies, bank account, fiscal journals and the company information. If the client chooses to use Odoo for the invoicing needs in Mexico, we can also assist in setting up the PAC provider. We also configure application related settings that we deem necessary for the implementation.
API IMPLEMENTATION
We ensure the successful implementation of any third party applications that we have developed and added to the Odoo instance as well as document their processes. We test the API functions between the systems (such as tripadvisor, airbnb and eventbrite).
3.3) TRAINING SERVICES
At our company, a primary focus during implementations is educating our clients on how to effectively utilize Odoo. We offer tailored training sessions for different teams, including teaching servers how to operate the POS system and handle end-of-day procedures. While the majority of our training is conducted remotely, we are open to conducting on-site sessions for clients in close proximity to Lucion.
SETTINGS APPLICATION
We offer guidance to the appointed liaison on managing the technical aspects of the system, including tasks like setting up users, assigning permissions, and other related functions. This training segment is scheduled for 3 hours to cover the fundamentals of the system and its configurations, with the possibility of arranging further sessions for in-depth exploration of advanced technical topics at an additional fee.
CONTACTS APPLICATION
,Essential to any ERP system is the directory database, where Odoo houses information on clients, suppliers, employees, and more in the Contacts app. We highlight this application as a key educational resource for mastering Odoo. In one hour, we show the basics of Odoo.
INVENTORY APPLICATION
"An army cannot run on an empty stomach" and a restaurant cannot operate with an empty pantry. Inventory control is key to keeping production in motion. In this 3 hour training, we study product creation, warehouse management (storage), scrap managament, internal transfers, valuation reports, product lifecycle.

The Odoo website editor is one of the easiest CMS (Content Management Systems) on the market. In this 3 hour training, we show you how to edit your website, modify it, create pages and much more.
WEBSITE CREATION
As you will be using the Odoo interface, we highly recommend that you create your website within the CMS that Odoo provides. This helps streamline the sales process as everything is integrated. Of course, if you already have a website, then we can simply integrate some of the features with your actual website, however, we still need to edit the website and make sure it looks good. We off the service of creating your website for you using the Odoo CMS.

Odoo has an approval process that can be set up for each process requiering a specific user in the system to sign off on things before they go through, for example, perhaps approving a credit to a group, a purchase order, vacation leave and much more. In this 2 hour training we show the assigned liason how to set up approval rules.
MASS EMAIL APPLICATION
Odoo has a mass email marketing application allowing users to send out marketing boletins, new promotions and even thank you letters for attending the Sanctuary In this 2 hour lesson we explore how to set up mailing lists, how to segment contacts, how to create the email templates and how to send out the emails.
MARKETING AUTOMATION APPLICATION
Odoo has a very useful and elaborate marketing automation email that allows users to set up automated responses/reactions to emails. In this 3 hour training we learn how to set up drip email campaigns, assign clientes to these campaigns.
LIVECHAT APPLICATION
One key aspect to highlight is the ability to engage in real-time conversations on the platform to address inquiries about services, pricing, and more.
